FirstService Residential is seeking a dynamic, customer service focused Community Manager for a beautiful resort community in the Myrtle Beach, SC area.
Primary Responsibilities: Provide leadership and guidance in all matters of the community associations management, both day to day and long term. Work closely with resident board of directors to ensure goals of the community are met while delivering excellence in customer service.
Assure that the policies, resolutions and goals of the Board are carried out
Be knowledgeable of all Association Governing Documents, Rules and Regulations and general legal requirements of a community association
Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Board of Trustees
Have general knowledge and understanding of building systems and components
Be available to be on-call to handle after-hours emergencies
Prepare weekly and monthly corporate and regional reports, as required
Follow all policies and procedures of the company and Association
Assist the Board in preparing an Emergency/Disaster Preparedness Plan, if applicable
Provide input and assist the Board with the preparation of the Association’s annual budget
Be responsible for the daily implementation of the annual budget, perform general financial management and recordkeeping
Attend regular meetings of the Finance Committee, if any, to review the Association’s fiscal and financial status
Coordinate receipt and review of invoices for services and ensure timely payment of bills
Assist Association and In House counsel on collection matters and monitor maintenance fee accounts
Verify checks when returned from Accounting. Ensure that all invoicing backup is attached to check and duplicate payments are not received.
Correct any errors prior to Board signature.
Mail original invoices and 1 copy of package to Client Accounting. Physical:
Prepare specifications needed for all services received by the Association (e.g., landscaping, snow, trash, insurance, pool, etc.)
Manage bid process, review bid spec proposals and comparison spreadsheets and make board recommendations as appropriate.
Negotiate Association contracts for routine services, subject to the Board’s approval, and Association counsel as needed.
Manage vendor relations
Hire, supervise, train, schedule and evaluate company and/or association staff
Log work requests in Connect and generate work orders for maintenance staff and/or contractors Complete and submit all required paperwork for closings, credits, charges, etc.
Conduct regular property inspections to ensure compliance with Association Rules and Regulations.
Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices
Attend all Board meetings
Prepare Board meeting agenda, monthly management report and all other reports and material needed for Board Packet; distribute one week in advance of meeting
Prepare and maintain log of violations in Connect.
Update resale/governing document books, when applicable
Assist Board in transferring control from the developer to the owners, if applicable
Coordinate activities of association professionals including attorneys, auditing firms and engineering firms
Act as liaison for designated committees
Serve as liaison for ARC Committee, if appropriate
Establish an annual calendar indicating all association activity, deadlines, election, meetings, projects, etc.
Review and be familiar with all policies of insurance to ensure adequate coverage
Update homeowner directory and create new homeowner file
Knowledge and ability to apply state Statutes and Community's documents.
Knowledge of assets, cash balance, and availability of funds for projects and cash flow management for capital improvements
Excellent organization, motivation, leadership, management and interpersonal skills.
Critical thinking, complex problem solving, judgment and decision making ability.
Ability to apply a comprehensive knowledge of particular field of specialization to the completion of difficult assignments.
Strong verbal, presentation, and written communication skills. Ability to communicate and provide guidance to all employee levels.
Ability to read, analyze and interpret technical procedures, leases and/or regulations
Must have strong proficiency in Windows and Microsoft Office, including but not limited to Word, Excel, Power Point and Outlook. Proficiency researching the Internet. Previous experience with financial and accounting programs preferred.
Ability to work with sensitive or confidential information.
Demonstrated experience managing large, complex accounts or projects. Ability to meet deadlines and work well under pressure.
Ability to work well in a team environment as well as independently. Must be self-driven with the ability to identify, plan and prioritize business opportunities.
Knowledge of mechanical operations of a building and equipment preferred.
